Travel & Expense Process Alignment Taskforce

The inaugural Process Alignment Taskforce, focused on Travel & Expense, has been meeting weekly since Jan. 14, 2025, with a goal of early April to wrap up its work. They are diving into data and processes to gain insight into processes and practices to work toward best practices for systemwide adoption.

Activity update

The group discussed processes related to the Travel Employee Profile. Travel administrators (admins) are prompted to update the Travel Employee Profile either at the time of hire or later when the employee starts to travel. Some have employees reach out before they travel to get their information updated, which is documented in their training materials. Some get notified by HR. While, ideally, updates would be identified early, there are challenges with trying to get the Travel Employee Profile set up at the time of hire. The group discussed having regular (e.g., monthly) checks via query to identify those that need their profile updated.

Default ChartField Values  

The travel admin must update the Operating Unit. It is best practice to leave the rest of the default chartstring blank or leave it up to college discretion.  

Employees cannot update their own default chartstring. There is only one default chartstring option on this page, and it would be carried over to all travel document forms. Therefore, it's recommended to only fill in the Oper Unit.  

Cash advance chartstrings 

There was conversation about the chartstring required for cash advances specifically. Cash advances cannot use state or grant funds (policy compliance). The group agreed to global chartfields: Fund 790 Class 285 Dept 98389 for cash advances. That can be updated in the cash advance forms.  

This may impact the approver, since Teri Sexton is set as the budget manager for this Dept ID. Members suggested that if colleges use cash advance without a TA (e.g., athletics purposes), they can document approvals with their attached documentation. For cash advances created with a TA, the TA chartstring would trigger the approval workflow, which would have the appropriate Dept ID.  

Transportation information

Privately owned vehicle (POV) information gets filled in. It is required to prove insurance each year—how is everyone doing that? Some colleges (e.g., Yakima Valley) have employees attest to it in their pre-travel documentation. Further discussion is needed around this topic.

Bank accounts

There is a mix of colleges using Automated Clearing House (ACH) vs. System Check payment. No discussion yet on which method is recommended. It was discussed that the payroll bank information should be used for bank accounts. There are options to add more bank accounts. Further discussion is needed around this. Corporate Card is a future topic as well.  

About the taskforce

Travel & Expense Process Alignment Workgroup (PAW) Taskforce Lead, Lia Homeister, Director of Institutional Research & Effectiveness and ctcLink College Leader at Renton Technical College, is heading up this inaugural effort, along with PAW college volunteers and SBCTC IT/ctcLink staff support.

Twenty-two colleges and SBCTC submitted nominations for nine taskforce positions to work on behalf of all 34 community and technical colleges.

PAW Report to WACTC Technology Committee

During the January WACTC-Tech meeting, Jason Hetterle provided an update on the PAW team’s work on travel and expense processes to date:

  • Reviewed the progress on travel and expense process improvement.
  • Task force selected and began orientation. Plans to gather feedback from all colleges regarding utilization. Reviewing security roles, data queries, and system configurations.

Action Items

  • Continue engagement with colleges.
  • Develop policy recommendations for standardization.
  • Monitor progress through the dashboard.

Highlights

  • Broad representation across colleges in the task force.
  • Initial alignment and structure completed.
  • Utilization review is in progress to assess how colleges are implementing travel and expense policies.
  • A standardized configuration recommendation is being developed.
  • A survey is planned to gather additional input from colleges.
  • Dashboard for tracking progress under development.

ctcLink Alert: ctcLink Production Environment – Server Maintenance

On Saturday, Feb. 22, 2025, from 7 to 9 a.m. SBCTC will be installing important Oracle patches. The entire ctcLink production environment will remain offline during the maintenance window.

Users logging into ctcLink will be directed to an offline notice with links to college Canvas sites.

Canvas will not be impacted.

Are You Receiving ctcLinkAlerts?

SBCTC uses the ctcLinkAlerts eList to send notices about planned downtime for system updates, production alerts, urgent issues, and any unplanned downtime.

Each college maintains a local ctcLinkAlerts email distribution list (e.g., ctclinkalerts@columbiabasin.edu, ctcLinkAlerts@spscc.edu) which your ctcLink College Leader maintains as needed.

These college lists, not individuals, are subscribed to ctcLinkAlerts@lists.ctc.edu.

It’s each college’s choice who to include, but typically colleges include their local ctcLink leadership, local ctcLink committee or taskforce members, key subject matter experts, IT, Help Desk, and PIO.

How to Check the Status of an Enhancement Request

The ctcLink Customer Services Teams have documented all Enhancement Request (ER) forms submitted.

The ctcLink Enhancement Request Status lists are updated the first and third Wednesday of each month to align with the ctcLink Working Group calendar.

You can see where each Enhancement Request is in the governance review process, approval status, and/or any other actions taken in a couple of different views.

CS Core Training

CS Core Trainings, a valuable learning opportunity, are held on the third Wednesday of every month from 8:30 a.m. to 10 a.m. The dates may change, and notifications will be sent in advance. CS Core Training: Graduation Tracking and Processing

Wednesday, Feb. 19, 2025, 8:30 – 10 a.m., Learn more and join the session

Join us for an in-depth training session on the Graduation Processing functionality within ctcLink. This session will explore the Student Program Plan Stack, the core component that manages student records and determines term activation and enrollment eligibility. You'll learn how the stack evolves as students progress, ultimately recording essential graduation information upon completion.

We will also navigate the ctcLink Student Homepage, highlighting the Academic Progress tile where students can view their eligible programs and terms for graduation, submit online applications, and receive confirmations. Additionally, we'll demonstrate how credential evaluators can utilize the Graduation Tracking Search page to efficiently review new graduation applications, update statuses, and add relevant notes.

CS Core Work Sessions

Campus Solutions (CS) Core Work Sessions, open to ALL end users, are generally held the first Thursday of each month, from 1 to 3 p.m., but may be offered on an alternative schedule (e.g., to accommodate holidays).

The CS Functional Support team facilitates, alternating between functional team delivered content and college user delivered content with functional team support. Each meeting includes time for colleges to ask questions about other topics or service tickets.

In 2025, CS Core Work Sessions will:

  • Include community engagement within each session (rather than have a formal, predetermined college panel).  As possible, we will post the anticipated questions ahead of time so that you can be prepared.
  • Dedicate at least the last half hour (2:30-3:00 pm) to Open Q&A. 
  • If the scheduled session ends early and all related questions have been answered, Open Q&A will begin (i.e., it may begin earlier than 2:30 but will begin no later than 2:30)

Q&A Session: Foreign Currency Correction (ER 308)

Wednesday, Feb. 19, 2025, 1-2 p.m., Join Session (Note: This session will be recorded and distributed after the session)

The Q&A session is optional, but colleges users in the finance module (particularly Accounts Payable, and General Ledger) are encouraged to attend.

The Finance Team plans to implement a correction to the Foreign Currency set-up (Enhancement Request 308) in ctcLink production on Thursday, Feb. 20, 2025. In this session we will walk you through the changes to the foreign currency set-up and explain how it might impact you.

The currency options have been updated in the following areas to properly reflect currency use:

  • General Ledger Definition
  • Ledger for Unit
  • Define Journal Source

This error was discovered in Accounts Payable, but because this set-up is Global, we also reviewed other modules and pillars for unanticipated results.

HCM Support Updates

New Feature: Manager Self-Service (MSS) Team Calendar

We are excited to announce the implementation of a new feature that was recently released by the ctcLink software vendor Oracle PeopleSoft – Team Calendar. This has been enabled for managers in Manager Self Service.

The PeopleSoft Team Calendar shows employee events in a calendar format that enables managers to track their employees and take action from the calendar. Various events display on the calendar such as Absences, Birthdays, Work Anniversaries, Holidays, and Schedules.

Managers can use the calendar selector to go to different dates and use the Today button to get back to the current period. Some of the features include:

  • Toggle between a weekly view and a Bi-weekly view.
  • View indirect reports who report to one of your managers.
  • Perform a search by name or job title or use the filters for more options.

The Team Calendar can be used on a laptop, tablet, or desktop device, and as a daily or weekly calendar on a mobile phone.  Managers can even take action on items using the related actions. A new Quick Reference Guide is under development.

PeopleTools 8.61

Oracle released the PeopleTools 8.61 update January 24, 2025, and the ctcLink Production implementation is scheduled for Saturday, April 26. All Support Teams will be analyzing and planning for the new functionality and updates to existing functions. Watch for more information regarding the testing plan and dates.

HCM 25A Tax Update

Oracle released the 25-A Tax Update January 31, 2025, and the ctcLink Production implementation is slated for Thursday, Feb. 13. Watch for more information regarding the testing plan and dates.

Human Capital Management (HCM) meetings are held every other Wednesday, from 1 to 3 p.m. The HCM Functional team along with the training team offers Work Sessions and Training Sessions around the different functionality in HCM.

Security Updates

The Role Templates that colleges requested to be moved to production have now been successfully transferred to Production in all three pillars.

SACR for Academic Institution needs to be added in the CS Pillar to ensure the templates are accessible in Launchpad Copy User Role.

Accessibility / ADA DOJ Title II Work Group Update

Monica Olsson and Carrie Powell reported on IT accessibility initiatives and coordination updates from the ADA Title II work group during the January WACTC Technology Committee meeting.

The four-member work group headed by Monica will conduct the kickoff session for college Accessible IT Coordinators on Friday, Jan. 31.

Monica and Carrie shared the group’s efforts to create a series of offerings to help colleges understand the new ADA ruling and its implications. They also discussed their plans to share a list of identified accessibility coordinators and to offer training and resources.

Carrie presented data on the accessibility scores of five anonymous colleges, which will be used to guide future improvements. Kevin expressed appreciation for the work being done and its potential to support all colleges.

Monica shared the newly created list of College & SBCTC Accessible IT Coordinators as of January 2025.

ctcLink Accessibility Monthly Open Forum

Join us! The ctcLink Accessibility monthly forums engage Washington's community and technical college system in discussions around ctcLink accessibility and technology. We aim to improve communication and transparency while providing space for productive and solution-focused dialog. Our main objective is to deliver accessible technology for all our students, staff, and the larger community.

Meetings are held the second Tuesday of each month, 11 a.m. to noon.

  • Book to Bank enhancement development is on hold as we await further instruction.
  • Character errors in TAM. Tickets 204166, 192823, and 192248. Currently in SIT. Sarah Sullivan is going to start with questions about how the employees are posting jobs. This may be a training issue instead of a code change.
  • Enhancement FWL Employee Record Look Up. Ticket 148615. Development completed, will be in SIT soon.
  • Enter time, report time, and other time pages we are exploring new functionality with configurable headers. The plan is to replace the drop zone and use the now accessible configurable headers to display information about the job the person is entering time for. The HCM functional team completed the enhancement request. This will solve a years ongoing accessibility issue as well as weekly tickets from customers requesting this functionality.
  • ER 203 - PTF LTD Report. Ticket 164932. In UAT.
  • ER 219 - Automation of adjustments to vacation / sick time donations for Shared Leave. Ticket 168718. Currently in development.
